The information we collect and why

As we ensure your experience with our Services is uniquely yours, we collect a mix of personal and non-personal information from you to pull that off. This is not because we are nosy but because we are here to cater to your career needs. We collect the information needed to provide our Services, personalize your experience, provide access to our Services, protect our community, comply with applicable laws, and improve our Services. The categories of information we collect, including their sources and why we collect them are described below:

Registration information

When you create an account with us, we collect your name, email address, and password to make your experience awesome! We use it to identify you, keep you in the loop with our Services, manage your account, follow the law, secure your account, and make things run smoothly. If you like, you can update your account with a profile photo to add a personal touch! We get this info straight from you when you sign up and complete your profile.

Payment method information

When it's time to pay for any of our Services, we will need a bit of info about your payment method to make the magic happen. If you are using a card, we will ask for your card numbers, name, and address – but not to worry, it's all in the name of seamless transactions. You share this info with us willingly; we only use it to process your payments.

Just so you know, the processing of payments is powered by Stripe, a trusted third-party payment processor. They handle the nitty-gritty of keeping your payment details safe and sound. You can have a look at Stripe’s terms and privacy policy  here and here.

Information from your content

When you share your thoughts with us through your comments on our articles or similar pages on our website, we ask for your email address, name, and website information so we can get to know you, keep you updated on our response, keep a community, and ensure your inputs conform with our Terms of Service.

Contact information

If you ever drop us a line through our website "Contact" form or decide to join our email offers through newsletters and subscriptions, you may provide, and we will collect your email address, name, and a few other details. We may require this to get back to you, provide support services, and send you offers and stuff that may catch your interest, respectively.

Information collected automatically

When you access our website or interact with some of our Services, we automatically obtain some info to make your experience extra awesome. This may include:

·        Your Device Properties: This includes your device IP Address, geolocation, and Operating System (OS). Just the basics to ensure everything runs smoothly!

·        Your Website Usage: We keep track of the pages you visit, your interests, and your browsing history. It helps us tailor things just for you, like your very own online playground!

·        Log Information: We note down when you access the website and some technical info. This may include your access time and software information.

·        Details of Transactions: If you purchase something from us or subscribe for a membership, we collect details like what you bought, how you paid, and when it happened.

We may collect this information automatically using certain third-party tools and technologies. These tools may include Google Analytics or any other analytics services. The technologies may include cookies, beacons, pixels, tags, and clear GIFs.

We may collect this information majorly to personalize your experience, improve your user experience, troubleshoot and resolve issues, prevent fraud, verify legitimate transactions, and comply with legal requirements (by keeping records of transactions).

Sensitive information

Some of the information we collect (for example, your card information) may be regarded as sensitive in accordance with applicable laws (for example, the California Privacy Rights Act (CCPA)). We limit our collection of such information and provide additional protection.

Your choices

You totally have the choice to not share the information you provide to us, as it is not a mandatory thing. However, keep in mind that it may be impossible to provide you with some of our Services without your information (for example, we cannot receive your payment for our Services without asking for your card information).

Cookies and similar technologies

We may deploy cookies and similar technologies (beacons, pixels, tags, JavaScript, and clear GIFs) on your browser when you access our website or interact with some of our features. For the purpose of this section, we will refer to all these technologies as “cookies.”

Cookies are like tiny data that enable our servers to recognize your web browser. They inform us when and how you visit our website, which helps us analyze trends, understand our community, and improve our Services.

Cookies are made up of letters and numbers. They are placed on your computer, phone, tablet, or similar device when you visit our website or interact with our Services.

We may also use Google Analytics – a third-party tool from Google Inc. to help us gather information about your preferences and make your experience awesome. Google may embed cookies in this tool to enable it to gather information automatically.

As highlighted, we use cookies to mainly personalize your experience, troubleshoot and resolve issues, detect and prevent fraud, and comply with legal requirements.

Cookies have their own duration – they can be either "session" or "persistent" when it comes to how long they stick around.

·        Session cookies: These clear out when you close your browser. They are there for the good times while you are on our website but expire when you leave.

·        Persistent cookies: These are the types that might stay a bit longer. They hang around on your device even after you have closed the browser, holding onto your preferences and making sure your next visit feels familiar and smooth.

We may use the following types of cookies:

·        Essential cookies: They are like the cookies that make things happen. They make our Services run effectively (for example, they allow you to log in to secure areas). Disabling them might make some features unavailable.

·        Functionality cookies: These record your choices and settings and also maintain these preferences and recognize you when you come back to our website. They are also used to personalize content for you.

·        Performance/analytical cookies: They give us the analytics on how you use our website, helping us improve our Services. These cookies are usually used in conjunction with Google Analytics (or any other analytical tools). Google Inc. uses cookies in accordance with its Terms of Use and Privacy Policy. You can opt out of Google Inc’s use of cookies here, or you can install the Google Analytics Opt-out Browser Add-on here.

You are in control! Your browser may have a “Do Not Track” signal option. However, because we collect some browser and identifying information, we do not respond to Do Not Track signals. If you do not want cookies tracking your use of our website, you can block or manage them by using the privacy settings section of your browser.

Legal reasons for collecting your information

We rely on the following legal reasons when collecting and using your information:

·        Contractual necessity: We process some of your information because it is necessary for fulfilling our contract with you. When you sign up for our Services, we need some information to make sure everything runs smoothly.

·        Legal obligation: Sometimes, the law says we have to do certain things. We may process your data to comply with legal obligations, like tax regulations and law enforcement inquiries.

·        Consent: You are in control! We process some of your information because you have permitted us to do so (for example, you permit us to send you marketing emails when you submit your email address in the newsletter form). When we need your consent, we will be clear about what we are asking and why. If you ever change your mind about your consent, you can withdraw it at any time.

·        Legitimate interests: We may process personal information based on our legitimate interests, provided that we are not stepping on your rights and interests. Our legitimate interests include: (i) Improving our Services’ overall user experience; (ii) Conducting analytics to understand member behavior and preferences; and (iii) Protecting the security and integrity of our website and Services. How we may share your information

We do not disclose, share, or transfer your information to third parties, including for them to market their services to you. However, information about you may be shared under the following conditions:

Sharing with third-party service providers

We work with a bunch of third-party service providers (“Service Providers”) who lend us a hand with things like web hosting, data storage, analytics monitoring, website maintenance, and payment handling. Some of these Service Providers may have access to your information in order to carry out their obligations. For example, Podia is a major Service Provider that provides us with services like hosting, analytics, and storage. They may access certain information about you but only to the extent needed to provide their services.

Sharing with other members and the public

If you provide us with content such as comments on the website, the name you provide and the content of your comment will be public and visible to other members and the public. Likewise, if you send us testimonials and reviews about our Services, we may post them on our website, and they will be public to anyone who visits our website. As a privacy measure, when commenting on our content, you can leave your name under a pseudonym.

Sharing with the International Coach Federation (ICF)

If you use our coaching services, we may log your email address and coaching hours (not coaching sessions) with the International Coach Federation (“ICF”) as a requirement for our accreditation. The coaching hours logged will not contain any personal information.

Sharing in compliance with the law and for rights protection

If the law comes knocking with a court order, subpoena, or any other legal summonses, we might need to share some info about you. It's like a legal obligation, and in those cases, we are obligated to comply. Also, if we genuinely believe that sharing info will protect our rights, the rights of any member of our amazing community, or even a third party, we might go ahead and share in good faith. However, if we ever find ourselves in a legal situation, we will do our best to give you a heads-up – if it's possible and doesn't step on any legal grounds.

Sharing in connection to a business transfer

In times of business transactions like mergers, sale of assets, acquisitions, consolidation, or a case of bankruptcy, we might need to share business info, including your information, with the applicable entities. In such instances, we will do our best to communicate it to you – unless it is going to go against a legal obligation.

Sharing at your consent

In unusual circumstances, we might share information about you. However, we will only do this after we have obtained explicit consent from you.

How we secure your information

Your information is protected using technical and organizational measures based on the type of information and applicable processing activity. Podia handles the security aspect on our behalf. And they employ the necessary safeguards possible to ensure only authorized persons have access to your information. In addition, payments are handled by Stripe. They have the required certification to collect and process payments securely. However, you also have a duty to perform – you should select strong password combinations and keep your account restricted to only you.

Nevertheless, we cannot always guarantee the security of your information even though we and third parties strive to keep it so. The technology world develops every day, and loopholes are discovered daily.

How long we retain your information

Unless your account or use of our Services is terminated, we retain information about you as long as you are an active member. If you choose to deactivate your account (or we close it for violation or inactivity), we will delete your information within 30 days. We may retain your information for longer periods to comply with applicable laws, resolve disputes, prevent legal claims, or enforce our Terms of Service. We may also retain some information in aggregated form in ways that do not identify you. This is to help us analyze trends and continue our Services.

Cross-border transfer of information

Although we collect and handle your information in accordance with the US privacy laws (being our base of operation), your information may be transferred to and processed in locations outside of your location because we may use some Service Providers outside of the US. However, we only use Service Providers with adequate data protection practices and offer additional precautions for such transfers.

If the transfer of personal information requires additional safeguards or practices (for example, the Standard Contractual Clauses for members in the EU, EEA, UK, and locations with laws similar to the GDPR), we take steps to comply.

In addition to other rights disclosed under this Privacy Policy, you have the following rights. Where applicable, some of these rights depend on those approved by your location privacy laws.

You may appeal a rejected privacy request by contacting us if you are using our Services from the State of Virginia, US. Please use the title “Privacy Request Appeal” in your email.
